Tracking Installation Progress: Do You Know What Is Actually Happening With Every Job?

Ask how many live jobs an installation company has and the answer may be easy.

Ask how many are ready for survey, awaiting customer information, waiting for materials, ready to install, awaiting evidence, requiring remediation or genuinely complete, and the answer can be much harder.

A list of jobs is not the same thing as visibility of progress.

Installation work is not one continuous process

A job normally passes through a series of stages.

A simplified journey might look like:

Enquiry → Qualification → Survey → Approval → Planning → Installation → Evidence → Completion → Aftercare

Real workflows can be considerably more complicated.

Jobs pause. They move backwards. Additional information is requested. Surveys identify problems. Installation evidence is rejected. Remedial visits are required.

The challenge is knowing where every job currently sits and, more importantly, what needs to happen next.

“In progress” is not particularly useful

Broad statuses such as “open”, “pending” and “in progress” can conceal enormous differences.

A job awaiting a customer signature is very different from one waiting for a technical review. Both might technically be “pending”.

Useful progress tracking therefore depends upon statuses that reflect the actual operational workflow.

Progress should identify exceptions

Management does not necessarily need to examine every successful job.

The greatest value often comes from identifying jobs that are not progressing normally.

  • surveys completed but not reviewed
  • installations approaching without required prerequisites
  • jobs with outstanding documents
  • completed installations missing evidence
  • remedial work not yet scheduled
  • jobs that have remained at one stage unusually long

Exception visibility allows teams to focus attention where intervention is required.

Progress data improves forecasting

Reliable job status can also provide a forward view.

If management knows how many jobs are at each stage, it becomes easier to understand likely future demand for surveys, installations, administration and compliance work.

Poor status data makes forecasting much more difficult because the pipeline does not accurately represent operational readiness.

Status needs to reflect reality

A status is only useful when it changes as the underlying work changes.

If employees have to remember to update a separate tracking spreadsheet after completing an activity somewhere else, the tracker can quickly become outdated.

Where practical, progress should therefore be connected to the work itself.

This is closely linked to maintaining one version of the truth across the business.
